What is Personal Information?
Personal information is information that can be used to identify you. It may include, but is not limited to, your name, email address, mailing address, phone number, etc.
What Personal Information Is Collected?
While using our Site, we may ask you to provide us with personally identifiable information, such as:
- For OSFM vendors – your contact information (name, email address, social media profiles, phone number)
- For regular website visitors – unique identifiers (IP address, cookies), plus any other information voluntarily provided via online forms or surveys.
How Is My Personal Information Used?
Your Personal Information may be used for any of the following reasons:
- For OSFM vendors – to administer your Directory listing or Featured Vendor post.
- To send you email newsletters, marketing, promotional materials, or other information that may be of interest (with consent)
- You may opt out of receiving any, or all, of these communications from us by following the unsubscribe link or instructions provided in the emails we send.
- To respond to requests, questions, and other messages submitted through our Site
- To ensure optimal functioning of our website
- To improve our marketing efforts
- To identify your preferences (e.g., order history, purchase preferences)
- To meet regulatory requirements
Like most websites, our Site also collects information that your browser or device sends whenever you visit our Site, known as “Log Data.” This Log Data may include information such as your computer’s Internet Protocol (“IP”) address, browser type, browser version, the pages of our Site that you visit, the time and date of your visit, the time spent on those pages and other statistics. In addition, we use third party services such as Google Analytics that collect, monitor and analyze this type of information in order to provide performance and traffic reports, as well as to analyze and improve our Site’s functionality.
Cookies are files with small amounts of data, which can include an anonymous unique identifier that allows the Site to recognize your browser and remember certain information. We are committed to ensuring the security of your Personal Information and take reasonable administrative and technical measures to protect your data. For example, our Site is protected with secure socket layer (SSL) technology, which encrypts all information entered on our site.Our Site also makes use of passwords, breach protection software, firewalls, restricted employee access, and other security measures to keep your Personal Information safe. We will use appropriate security measures when destroying your Personal Information such as shredding documents or deleting electronically stored information, in our discretion.
Remember that no method of transmission over the Internet, or method of electronic storage, is 100% secure. While we strive to use commercially acceptable means to protect your Personal Information, we cannot guarantee its absolute security. In the event of a security breach, we will inform the authorities and all affected parties in accordance with applicable law.
Who Has Access to My Personal Information?
We only use your data to provide goods/services through our Site, to provide customer service, to ensure user experience and functionality, and to improve our business and website. As such, select staff members have access to your information in order to complete some of these tasks. We also employ trusted third parties to facilitate some of these tasks. These third parties have access to your Personal Information only to perform these tasks on our behalf and are obligated not to disclose or use it for any other purpose. These third parties include our website administrator, marketing agency, software developers, web hosting provider, analytics provider, social media provider(s), and email marketing service provider (with prior consent). We will not sell your Personal Information to other parties.
How Long is my Data Retained?
We retain your Personal Information for the time necessary to fulfill the identified purposes or a legal or business purpose. Aggregate data is stored by our analytics provider for up to 50 months. See Facebook’s Data Usage Policyfor their data retention policy regarding their tracking pixels.
How Can I Access, Correct, or Delete my Personal Information?
We will make reasonable efforts to ensure that your Personal Information is accurate and complete. You may request access to your Personal Information to view, save, or reuse. You have the right to request corrections to your Personal Information if required. You may also request deletion of your Personal Information (although we are not required to erase any data that may be necessary for other legal purposes, e.g., tax purposes). All such requests must be in writing and must provide sufficient detail to identify your Personal Information and the action being requested.
How Can I Limit the Collection of My Data?
Some features of the Site may require the collection of your Personal Information, e.g., submission forms. While our Site takes measures to protect the submission of your Personal Information (see section on Security above), if you do not wish to submit your information online, it may be possible to contact us another way.
The ability to view and analyze data through our third party data processor, Google Analytics, is important for monitoring and improving our Site and user experience. As per Google Analytics’ Terms of Service, this information does not include personally identifying information. However, if you still wish to prevent Google Analytics from collecting data from your browsing session(s) on our Site, you can download and install a browser extension to disable Google Analytics tracking.
We use the Facebook/Instagram “visitor action pixels” to track user behavior after they have been redirected to the Site by clicking on a Facebook ad. This enables us to measure the effectiveness of Facebook ads for statistical and market research purposes. The data collected in this way is anonymous to us, i.e. we do not see the personal data of individual users. However, this data is stored and processed by Facebook. Facebook may link this information to your Facebook/Instagram account and also use it for its own promotional purposes, in accordance with Facebook’s Data Usage Policy. You can allow Facebook and its partners to place ads on and off Facebook. A cookie may also be stored on your computer for these purposes. You can opt out of this tracking by disabling cookies or installing a browser extension.
If you do not wish to receive marketing communications such as email newsletters, other promotional materials, or other information that may be of interest, you can simply choose not to opt-in to our email list. If you are already on our email list and wish to opt out, instructions can be found at the bottom of our email newsletters.
Third-Party Links and References
We sometimes include links or references to third-party websites or businesses on our Site. These third parties have their own privacy policies in place for how they collect, use, and disclose your Personal Information. We are not responsible or liable for the content and activities of these linked sites or businesses, but welcome your feedback on their policies.
We do not knowingly collect personally identifiable information from individuals under the age of 18 (“Minors”). If you are a parent or guardian and you are aware that your Minor has provided us with Personal Information, please contact us. Once we are made aware that we have collected Personal Information from Minors without verification of parental consent, we take steps to remove that information from our servers.
